Just a little tip for setting up craft area...We just finished our VBS with a record of  over 400 students.  With 45 walk-in registrations, we found ourselves short of space in the elementary craft room, so decided to remove the chairs and have kids stand...you can fit more kids at a table and no chairs to have to maneuver around.  Just have some kind of workspace designated (paper plate, placemat, etc) so they don't all crowd around one table.   We also used table markers with their crew number on them so they would know exactly which tables their crew were to use.

We did the same thing in the craft room and for chow.  Chairs took up too much room and most of the kids usually stand NEXT to the chair, so we just had them stand.  Worked like a charm!

We put brown paper on the floor, and crews sat on the floor in circles. Each crew had their stuff given to them in a Group VBS can, or a popcorn can. This also became their trash can if one was needed. The craft person then simply empties the trash, and reloads the supplies for the next group. I have to confess I don't know how that would work for 400 kids!
