Hi PJ,I saw your online.  I have another question about staff training.  If my VBS is June 9-13, when should I do the staff training,  Im afraid if I will make it too early, volunteers will forget.  If its too late, then they will cram.  We will have recruitment Sundays this April 6 and 13. Nice, since I have a faithful/seasoned crew we do not meet more than twice before VBS. I tend to leave training for at least 2 months prior to VBS. I hold one meeting (3 months in advance) where we all watch the video/dvd and do some of the snacks/games. It's more of a fellowship/ice breaker. New volunteers serve as either Crew Leaders or Station Assistants. We then meet once again 1 month before VBS to discuss material and supplies and make sure we all have what we need.

If your staff is fairly new however, I suggest you meet at least three or four times as soon as you have gathered all your station/crew leaders. You can never do it too early! You need to emphasize their responsibilities and commitment. The DVD training should be first. At least by the end of April/early May. Then a follow up followed with by a Fellowship two weeks later to encourage them and answer any new questions. Finally meet again within the next two weeks to make sure they all have what they need. Hope this helps.

In my opinion, you don't have that much time. Start connecting right after your recruitment.

Thanks PJ!  I will definitely do that .  I just posted a new topic about meeting first with station leaders only  because there are items that I need to discuss with them mainly decision making in snack rotations, asking them their suggestions in their stations, asking them if they are willing to meet after each VBS day and how long, asking them if its okay to make them come in at 8:15 on the last day and other small stuff. 

I was planning to give gifts on the last day before VBS starts.  Basically,  I am the newbie and these station leaders are the seasoned ones.  So Im kinda confirming it to them.  I want them to be involve in some decision making (if this is a good idea).  The last VBS Director was not able to get feedback/evaluation from the previous VBS so she can't answer all my questions.  All I know is that they have "no show" volunteers last year.

But as of now,  I only have 5 station leaders (yes, hallelujiah! I have already 5!)  I am running out of names to call for the 3 remaining slots.  Only God can make them willing and act accdg to HIs purpose-whoever they are.  Hopefully, the recruitment Sundays will be a big hit!

My recruitment Sundays will be April 6 and 13.  Should I go ahead and meet with the 5 station leaders before April 6 then meet again last week of April/ first week of May for training which will include the crew leaders?

I will be just meeting with the 5 station leaders and trying to cover all gaps while waiting for other leaders to join?  What do you think?

I'm a newbie to the forum & this is my first year leading VBS! Having a great time getting some new ideas! We are going to try something different this year with snack time. One of my co-directors came up with this idea & I thought I would share.

Our kids hate missing games. So we aren't going to have the kids help make the snacks. this year. We have some great volunteers who are putting together healthy/simple snacks for the kids. Applesauce with Graham sticks, popcorn, cheese & ham cubes, etc.

To help us serve our 30+ crews we are going to have each crew have their own box. We aren't sure yet if these will be shoe boxes or if we'll go to the Dollar Store and pick up some plastic boxes of some sort that we can wash and use year after year. In each box will be everything that the particular crew will need for their snack. Something to clean hands, the snack, trash bag, drink (we are thinking of pint sized water bottles...not environmentally friendly, but with that many kids we want to minimize the spills & sugar intake). The Materials Manager will pick up the box and then they will find a spot in our fellowship hall to eat & chat. They will pray on their own instead of waiting for everyone to arrive because we had some that would drift in late and it just held everyone up. This is going to be viewed as a chance for crews to do some individual work on their own.

To take advantage of the fact that all crews will be gathering for Test Tube Treats, we are going to use the time that they will have together as a crew to focus on group building. In each box there will be a 'card' that will have discussion starters based on the day's theme, reminders to look at the daily challenge, a meal prayer to use (unless they want to come up with their own), and we may possibly include games that can be played sitting and without a lot of space.

Our preschool program is made up of 60 kids and they do their own thing...a snack mix everyday...same thing...served in a plastic cup.
