We are in the process of performing background checks, and someone on the leadership team suggested we get together some type of information privacy policy document to hand to volunteers when we collect their info for background checks. The idea is that we want our volunteers to know we are handling their information safely. So, a couple of questions....

1. What is your process for safely handling personal information?

2. Do you have a written document outlining your information handling practices? Do you have something you hand to potential volunteers?

I'm in the process of putting something together and don't want to have to reinvent the wheel to do it. Any help would be great. Thanks!

Check with your district/state office. They may have specific rules for how the procedure works and they may be able to provide you with the resources that you need. Hope that helps.

I belong to a non-denominational church, so we don't have a district/state office. That's why I'm checking with other churches/youth ministers to see what they have. Thanks, though!

I have not had to do this for a non-denominational church but I would suggest something like having a file cabinet that would be locked in the Pastors office where the personal information would be kept.  I beleive that is all they do at any district office I have been involved in.  To make it very clear you could have a form that each person would sign stating where the information would be kept and that they have been told and are ok with it.  I would think that would cover you guys.  I have created forms for people to fill out I can send them to you if you would like to see them.  You can use any or all the parts of them or none of it whatever will work for you and your church.

Our church also has a background check done on personell that work with children and our information is kept in the church office LOCKED in a file cabinet and the only people with access to the information is the church secretary and the senior pastor. This is also stated in the form when it is given to the person whom the background check will be done on.
